Craft Fair & Pop-Up Profit Planner | Excel Workbook

Plan your next booth before you pack, then record what actually happened. This black-and-gold, two-sheet Excel workbook helps craft fair vendors, makers and pop-up sellers estimate break-even sales and review actual event profit using simple manual records.

Sheet 1: Break Even calculator

Enter the event name, booth costs, travel costs, other fixed costs, average item sale price, cost per item sold, percentage payment fee, fixed payment fee per item, not per order, and desired event profit.

The calculator estimates contribution per item and the number of items and sales value needed to break even and reach your target profit. Zero or negative contribution is flagged.

Sheet 2: Event Log for 50 actual events

Record each event's date and name, booth costs, travel costs, other costs, gross sales before refunds, refunds, goods cost for units sold, actual payment fees and hours worked.

The log calculates net sales, total costs, event profit and profit per hour. Negative profit is allowed. When hours are zero, the hourly result stays blank. Input validation flags invalid records, and invalid events are excluded from aggregate results.

Aggregate actual profit sums all events marked Ready across all years, independently of the planning calculator. The workbook has a fixed capacity of 50 actual events.

Requirements and limits

Requires Microsoft Excel 2021 or Microsoft 365 desktop. No Google Sheets edition, macros or automatic software updates are included. This is a digital workbook, not a physical product.

Records are entered manually. There is no inventory, POS or shop synchronization. This workbook is not a tax-filing tool and does not guarantee sales or profit. Owner labor is excluded unless you enter it into costs. Prices and sales figures exclude sales tax. Use USD consistently.
